Why do we process your data and when do we collect them?

NAVIGATION DATA

The computer systems and software procedures used to operate this site acquire, in the course of their normal operation, certain personal data whose transmission is implicit in the use of Internet communication protocols.

This category of data includes the IP addresses or domain names of the computers and terminals used by users, the URI/URL addresses of the resources requested, the time of the request, the method used to submit the request to the server, the size of the file obtained in response, the numerical code indicating the status of the response given by the server (successful, error, etc.) and other parameters relating to the user's operating system and computer environment.

Can we do it without your consent? Yes, as the data is necessary for Internet communication and to enable you to use the site (Art. 6(f) GDPR).

How long do we keep this data? Browsing data are not retained for more than seven days (except in the case of criminal investigations by judicial authorities).

If you decide to contact us via the form on our website, we will process your personal data and your e-mail address.

On the site you can also subscribe to our newsletter and in this case we will process your name, surname and e-mail address.

Can we do it without your consent? Yes, because we are carrying out a request from you (Art. 6(b) GDPR).

How long do we keep this data? We will store this data for 36 months from the time of your last interaction with us. However, you can request the deletion of your data at any time and we will delete it immediately.

EVENT REGISTRATION

On the site you can also register for the event we propose and organise on our own or with our partners.

Can we do it without your consent? Yes, because we are carrying out a request from you to register for the event (Art. 6(b) GDPR).

When do we ask for your consent? We request your express consent to pass on your personal data to partners who help us with the event and who will use it for their own commercial purposes. We also request your consent to send you updates on training and future events. Finally, we require your consent to process (store, disseminate on social platforms and/or website) your image (art. 6, lett. a, GDPR).

It should be noted at this point that you may not provide consent for the transfer of data, for the receipt of informative and commercial material and for the processing of your image, however, you may still participate in the event you have registered for.

How long do we keep this data? We keep your subscription data for 10 years (Art. 2220 Civil Code). We will keep your newsletter subscription data for 36 months from the time of your last interaction with us or until you unsubscribe.

If you have given your consent for your data to be passed on to a third party partner, please refer directly to the partner (autonomous data controller) for storage times as well as processing methods.

How do we process your data?

Your data is processed using instruments and procedures that guarantee security and confidentiality, and may be processed both through our website and through other electronic tools (e.g. internal management systems) and sometimes even with the aid of paper supports. In addition to the Data Controller, in some cases, other subjects involved in the organisation of this Web Site (administrative and sales staff, system administrators, etc.) or external subjects (such as third party technical service providers, hosting providers, IT companies, communication agencies, data entry agencies) appointed, in the cases provided for by the law, as Data Processors by us, may have access to the data. Where is your data?

The processing we carry out with your personal data takes place mainly on European soil. Your browsing data (IP address), on the other hand, may be transferred outside the European Union and in particular to the United States (by way of example, Google) through the installation of cookies.

Who has access to your data?

Your data may be made accessible to the Controller's employees and collaborators in their capacity as data processors and/or system administrators and/or other entities (by way of example: professional firms, consultants, software houses that supply us with management software, etc.) that perform outsourcing activities on our behalf, in their capacity as external data processors.

In no way do we disseminate your data.

The recipients of the processing, on the other hand, are those who receive communications of personal data from the Controller, but who, following such communication, act as autonomous controllers. These include:

• Swoogo (EMEA), Facebook, Instagram, Youtube and other Owner's platforms. When you click on the icons of social networks and platforms you will be redirected to pages outside the website and you agree to share some of your information with the Owners of that service. The information you share will then be governed by the privacy policies of the Social Network or Platform you have chosen. 

AI VIRTUAL ASSISTANT (CHAT, WHATSAPP AND PHONE)

What data we collect and why On the website and through the dedicated channels, an assistant based on artificial intelligence systems is available, designed to answer your questions regarding the programme, speakers, companies, stands and useful information about the event. You can interact with the assistant via:

• Chat/widget present on the website
• WhatsApp messages
• Phone calls

Depending on the channel used, we collect and process

• The content of the questions and answers, the conversation identifiers, the date and time of the interaction.
• The telephone number or messaging identifier (for WhatsApp and telephone channel)
• Technical connection data (e.g. IP address, browser or device information)
• For phone calls, the audio and transcriptions are processed solely for the purpose of understanding the request and generating the response. The text widget on the website does not require microphone activation

Can we do it without your consent? Yes, because the processing is necessary to respond to your request for information about the event (Art. 6, point (b), GDPR) and is based on our legitimate interest in facilitating access to information about the event (Art. 6, point (f), GDPR)

The use of the assistant is completely optional. If you do not wish to use the AI assistant, you can consult the programme information directly at [suspicious link removed] or contact us through traditional channels.

Automated interaction Responses are generated in real time by an artificial intelligence system and may occasionally contain inaccuracies. The service is purely for informational purposes: no profiling activities are carried out, nor are automated decisions made that produce legal or significant effects on the user.

Suppliers and Data Processors The assistant is technically produced by Ecco Italy SRL (Via Lorenzo Bartolini 12, 50124 Florence, privacy contact: dpo@tryecco.com), which processes communications on our behalf as a Data Processor (Art. 28 GDPR). For the provision of the service (infrastructure, telephony, text-to-speech and messaging), specialised third-party suppliers are used, including Twilio, ElevenLabs and Meta (per WhatsApp). Any data transfers outside the European Economic Area (EEA) take place in compliance with the safeguards established by Chapter V of the GDPR (e.g. Standard Contractual Clauses).

Sub-managers, Ecco and transfers

How long do we keep this data? Conversation content, transcripts and associated technical logs are retained for 90 days from the moment of interaction solely for the purpose of managing the request and ensuring the proper functioning of the service. At the end of the period, the data are deleted or anonymised.

What are your rights?

As a data subject, you have several rights. For example, the right to obtain, in the cases provided for, access to your personal data and the rectification or deletion thereof or the restriction of processing concerning them or to object to processing (to find out what your rights are, you can consult the Regulation in Articles 15 et seq.) To exercise your rights, you can instead write to us or telephone us at the contacts you find at the beginning of this information notice.

Right to complain

If you feel that the processing violates your rights in any way, you can lodge a complaint with the Data Protection Authority by checking the procedures on the website www.garanteprivacy.it. Protecting the privacy of minors

This website is aimed at a general audience, however its services are intended for persons of 18 years of age or older. We do not solicit, collect, use or disclose personal data from persons under the age of 18 online. Should we discover that we have personally collected data from a minor, we will delete it immediately.
